  • Find the calls worth capturing

    Not everything your people know is worth writing down. We look for the judgments that get made often, cost real money when they're wrong, and currently depend on one person being available.

  • Get them out of the head

    Usually by recording someone explaining a real decision out loud and turning that into text. It's cheaper and truer than asking them to write a process document they'll never finish.

  • Keep the pieces separate

    One judgment at a time, stored on its own. Pouring everything into one big knowledge base makes the AI worse, not better β€” give it a library and it stops knowing where to look.

  • Attach provenance

    Every answer traces to where it came from and when it was last checked. An answer you can't trace is an answer you can't act on.

  • Draw the privacy line first

    Identity documents, contact details, anything you don't have the right to reuse β€” the boundary gets set before anything goes in, not after.

  • Keep it from rotting

    Facts expire. Conflicting and stale entries go on a review list rather than quietly becoming wrong.

What we won't tell you

  • This is slow. It is not a one-week project, and anyone promising you a complete company knowledge base in a sprint hasn't done it.

  • It only works if the person with the judgment actually participates. We can make that take an hour instead of a week, but we can't do it without them.

  • Start with one. The failure we see most often is a company trying to capture everything at once and finishing nothing.

    One judgment your business genuinely leans on. Small enough to finish, real enough to matter.

  2. Capture it

    Recorded explanation, turned into text, checked by the person who made the call.

  3. Put it to work

    Wired into whatever your team already uses, so it gets used by asking rather than by remembering it exists.

  4. Repeat, then hand over

    The second one is faster. By the fourth your team is doing it without us, which is the point.
